Every campaign email is sent from the mailbox you connected, using your own address. ZenBee spaces sends out within your sending hours, so nothing goes out in one burst.

When someone replies, the follow-ups stop

ZenBee checks newly arrived messages in your connected mailbox for responses to the emails it sent. A reply pauses the rest of that contact's sequence, so nobody gets a "just bumping this up" after they've already answered.

What ZenBee asks Google for, and why

When you connect a Gmail account, ZenBee asks Google for three permissions. Each one is used only for ZenBee's email campaign feature.

Send email on your behalf

To send the campaign emails you write and schedule in ZenBee from your own Gmail account. We send nothing you have not set up in a campaign.

View your email messages and settings

To check newly arrived messages in your inbox for responses to emails you sent through ZenBee. When someone replies, ZenBee stops the remaining follow-ups to that person and shows the reply in your ZenBee inbox. We also use it to recognise bounces, out-of-office replies and unsubscribe requests, and to confirm in your Sent Mail that a campaign email went out, so it is never sent twice.

What we store

Only messages that are a response to an email you sent through ZenBee (sender, subject, date and message text), as part of your campaign history. Any other message in your mailbox is read only to check whether it is such a response. It is then discarded, never stored.

Campaign activity records are kept for up to 180 days. Stored replies remain in your account until you delete them or your account, or ask us to.

What we never do

We do not sell Google user data. We do not use it for advertising, and we do not use it to train AI or machine-learning models. We do not share it with third parties, except as needed to provide the feature, for security, or to comply with the law.

Nobody at ZenBee reads your Gmail data unless you ask us to (for example, for support), it is needed for security, or the law requires it.

You stay in control

Disconnect Gmail at any time in ZenBee under Settings → Email Settings → Mailbox. Disconnecting deletes your stored Google access tokens, so ZenBee can no longer access your mailbox.

You can also remove ZenBee's access at myaccount.google.com/connections. To have your stored data deleted, contact support@zenbee.io.

ZenBee's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Read the full ZenBee Privacy Policy.

Frequently asked questions

Which mailboxes can I send from?
You can connect a Gmail or Google Workspace account, a Microsoft Outlook account, or an SMTP relay. Campaign emails are sent from the address you connect, and you can rotate one campaign across several mailboxes.
Will someone who has already replied keep getting follow-ups?
No. ZenBee checks your connected mailbox for replies to the emails it sent. As soon as a contact replies, the rest of their sequence is stopped and the reply appears in your ZenBee inbox. Out-of-office auto-replies are recognised and are not treated as replies.
What does ZenBee do with my Gmail data?
ZenBee uses Gmail access only to send the campaign emails you set up and to detect responses, bounces, out-of-office replies and unsubscribe requests to those emails. It stores only replies to emails sent through ZenBee. Other messages are checked and then discarded, never stored. See Your Gmail data above and our Privacy Policy.
Where do the contacts in a campaign come from?
From your ZenBee lists. Build a list from a contact search, then add it to a campaign. Contacts on your Unsubscribes list, and contacts already in the campaign, are skipped automatically.
How many emails will ZenBee send per day?
Each mailbox starts with a small daily limit that rises gradually while bounces and complaints stay low, up to a target you choose. Sends only happen within your sending days and hours, with a pause between each one.
How do I stop ZenBee from accessing my mailbox?
Disconnect it in ZenBee under Settings → Email Settings → Mailbox. That deletes your stored Google access tokens. You can also remove access from your Google Account at myaccount.google.com/connections.
