Email domain warmup is the most misunderstood step in outbound, because almost everyone describes it as a volume ramp. It is not. Providers are not counting how many messages you sent last Tuesday; they are building a trailing verdict on whether people want your mail. Volume is simply the container the evidence arrives in. A domain that sends 40 messages a day and earns replies will out-place a domain that sent 400 to silence, every single time.

Mailbox providers score a sending domain on a rolling average of recipient behaviour. Warmup exists to give that average something positive to average. Four signals carry most of the weight.

The email domain warmup prerequisite checklist

Warming a misconfigured domain teaches providers that a misconfigured domain sends mail. Finish all of this first, and verify each item rather than assuming your provider did it.

  • Domain registered and redirecting. A lookalike domain with a 301 to your main site. A sending domain that resolves to nothing is a red flag on its own.

  • A dedicated tracking domain configured and its own DNS in place.
  • Complete mailbox profiles. Real display name, photo, signature with a working phone number and address.
  • Domain age of two weeks minimum before the first warmup send, and three to four weeks before the first cold send.

The DNS layer is the one that silently invalidates everything downstream. Authentication failures during email domain warmup do not just waste the weeks; they actively teach providers that mail from this domain fails checks. Two details in that table matter more than the volumes. First, week three sends real cold email to a tiny hand-picked list — ideally people plausibly likely to reply — because pool traffic alone never proves anything about real recipients. Second, warmup traffic never stops. It drops to a maintenance level and continues indefinitely, because reputation is a rolling average and a domain that only ever sends cold mail has an average made entirely of cold mail.

Warmup pools: where they help and where they mislead

Automated warmup tools work by placing your mailbox in a reciprocal network. Your mailbox sends to other members, they reply, mark as important and rescue from spam, and you do the same for them. What pools do well

They generate reply and rescue signals at a volume no human could match manually, across a spread of providers, on a schedule. For the first two weeks of a new domain, that is exactly the input required and there is no practical alternative.

Where they mislead

  • Pool inbox rates are not your inbox rate. A 98% pool score reflects placement into mailboxes that have agreed in advance to like you. Real recipients have not.
  • Pool quality varies enormously. Networks stuffed with free consumer mailboxes and other cold senders teach providers that you keep company with cold senders.
  • The patterns are detectable. Fixed-length filler bodies, uniform reply timing and perfectly symmetrical exchanges do not look like human mail, and filters have had years to learn the shape.
  • They cannot repair a list problem. No amount of warmup survives a 7% bounce rate on the first real campaign.

Treat the pool score as a smoke test rather than a result. The real verdict comes from a seed-list placement test and from Google Postmaster Tools once you have enough Gmail volume to register.

Domain or mailbox: what carries the reputation

Both, at different resolutions. Providers evaluate the sending domain, the sending IP and the individual sender address, and they weight the domain most heavily for outbound like yours. The practical consequences are worth internalising:

  • One reckless mailbox degrades every other mailbox on the same domain. Isolation is the reason to cap at two or three per domain.
  • A new mailbox on an established domain inherits some of that domain’s standing, which is why it needs a shorter ramp rather than a full restart.
  • Subdomains inherit from the parent but are scored separately, so a burned mail.company.com still drags on the brand it advertises.
  • Deleting and recreating a mailbox on a burned domain changes nothing at all.

Adding mailboxes to a domain that is already warm

This is the routine email domain warmup case teams get wrong most often, usually by plugging a brand-new mailbox straight into an existing campaign at full volume. Run a compressed version instead: seven to ten days of pool traffic climbing from 10 to 30 a day, then cold sends starting at 10 and reaching normal volume by day fourteen.

  1. Stop all cold sending and fix the underlying cause, whether that is authentication, list quality or volume.
  2. Run warmup only for two to three weeks, with no campaign traffic whatsoever.
  3. Seed test before resuming. If placement is still below 70%, the domain is not ready and more warmup will not change that this month.
  4. Resume at a quarter of previous volume on a freshly verified list, and ramp over a further month.
  5. Set a stop-loss. If Postmaster reputation has not improved after six weeks of clean sending, retire the domain. A replacement costs about fifteen dollars and four weeks; the burned one has already cost you a quarter.

Six email domain warmup mistakes that cost weeks

  • Warming and launching on the same day. The ramp exists to precede volume, not to accompany it.
  • Switching warmup off at launch. Maintenance traffic is what keeps the rolling average from becoming pure cold mail.
  • Sending an unverified list first. Bounces in week four undo weeks one to three in a single afternoon.
  • Rich HTML from day one. Plain text with a single link matches what a warmed mailbox has been sending. Keep it that way for the first month.
  • Measuring the pool instead of the inbox. Pool scores are a smoke test, not a placement rate.
  • Warming the corporate domain. If it carries invoices and support mail, it should never carry cold outreach.

How to tell the email domain warmup actually worked

Three checks, in order, before you scale a warmed domain past 25 sends a day:

  1. A seed-list placement test above 90% across Google Workspace and Microsoft 365, run through the production sending path.
  2. A first real batch of 50 to 100 sends that returns a bounce rate under 2% and at least one genuine reply.
  3. Postmaster domain reputation at medium or high once Gmail volume is sufficient to report, with a complaint rate at or near zero.

Can I warm up manually instead of using a tool?
