How ZenBee Works as a B2B Prospecting Tool

Micro-market analysis segmenting B2B accounts for prospecting

ZenBee is a B2B prospecting workspace that combines four things most teams buy separately: a verified contact database of 700M+ people, company data on 35M+ businesses ranked by live buying signal, AI that builds your target list from a plain-English description, and email sequencing with a unified inbox. All of it runs on one login, so a list never has to be exported and re-imported to move from research to outreach.

This walks through what each part actually does, a worked example from one sentence to a live sequence, what it costs, and how to evaluate it against whatever you are using now.

What is a B2B prospecting tool supposed to do?

Three jobs, and most stacks split them across three vendors:

JobWhat it answersFailure mode when split
FindWhich accounts and which peopleLists built against one definition, worked against another
TimeWhich of them to contact this weekSignal data arrives after the list is already exported
ReachGetting a relevant message out and tracking the replyData goes stale between export and send

The cost of splitting them is rarely the subscription fees. It is the gap between steps — a list pulled on Monday, enriched Tuesday, loaded into a sequencer Thursday, and sent Friday against data that was verified at database-build time months earlier. Consolidating the workflow is the design premise behind ZenBee.

How does ZenBee work, end to end?

  1. Define the audience — either with filters, or by describing it in a sentence to ZenBee AI Chat.
  2. Build the list — from contacts, from companies, or by cloning an existing customer with AI Lookalike.
  3. Rank by signal — sort accounts by signal score and last-signal date so you start with the ones already in market.
  4. Reveal and verify — contact details are checked against live sources at the moment you access them.
  5. Personalise and send — draft per-contact email from each prospect’s own profile, run it as a multi-step sequence, or export to your own stack.
  6. Manage replies — every response lands in one unified inbox.

Steps 1 through 6 happen without leaving the workspace. That is the whole argument — not that any single step is unique, but that nothing gets re-keyed between them.

What do the five modules actually do?

Contact Search — find the person, not the job title

700M+ verified contacts, filtered to the handful who match your ICP.

  • Industry, SIC code, headcount, revenue and technology stack
  • Contact and headquarter location, plus job-change recency
  • Verified work email, direct-dial mobile and LinkedIn profile
  • Saved lists, bulk selection and one-click CRM export

Job-change recency is the underrated filter here. Someone hired into a role in the last six months has budget to reallocate and no incumbent vendor loyalty — a materially different prospect from someone four years into the same seat.

Company Search — work the accounts already moving

35M+ companies, ranked by live signal score.

  • 63+ industry and SIC-code filters, plus size, revenue and funding stage
  • Signal score and last-signal date on every account
  • Headcount growth, hiring activity and technology footprint
  • Drill from any company straight into its decision makers

Hiring activity is among the more reliable leading indicators in B2B, for a simple reason: companies hire before they buy. SDR hiring precedes sales-tool purchases; security hires precede compliance-tool evaluation.

ZenBee AI Chat — describe the audience, get the filters

Write the audience in one sentence and ZenBee extracts every criterion, then applies each as a native, editable filter.

  • Handles nine criteria in a single prompt, including exclusions and either/or conditions
  • Every extracted filter is visible, labelled and adjustable
  • Works across contacts and companies from the same chat
  • Save the query, or refine it by hand afterwards

The design decision that matters: the output is a filter set you can see and edit, not a black-box result list. If the AI misreads “excluding anyone we have already sequenced,” you can see that it did and fix it.

AI Lookalike — turn your best customer into a hundred more

Point ZenBee at an account that already worked and it builds the filter set that finds the rest.

  • Clone from any company or contact card, or from a plain-text prompt
  • Analyses industry, size, stack, seniority and role to build the match
  • Name and save the clone, then reuse it on every new segment
  • Edit the generated filters like any other search, then push straight into a sequence

We go deeper on the mechanics in lookalike company search.

Personalized Email — drafted per contact, not per template

Email is generated from each prospect’s own profile and company context, then sent as a multi-step sequence with safe sending limits. Replies route to one unified inbox.

You are not obliged to send from ZenBee. Export the enriched list and run it through your own stack if you prefer — the data is the same either way.

A worked example: one sentence to a live sequence

Say you sell revenue-operations software and want UK and Irish scale-ups, but not anyone your team has already touched.

  1. Type the audience into AI Chat: “heads of revenue operations at Series B–D SaaS companies in the UK or Ireland, 50–500 employees, excluding anyone we have already sequenced.”
  2. Check the extracted filters. Role, funding stage, two countries, a headcount band and an exclusion — each visible and adjustable. Widen the headcount if the result set is thin.
  3. Sort by signal score. Accounts with recent hiring activity or technology changes rise to the top. Work those first.
  4. Reveal contacts. Each address is verified against live sources at that moment. Unverifiable records are not returned rather than guessed at.
  5. Draft and sequence. Email is generated per contact from their profile and company context, then runs as a multi-step sequence under safe sending limits.
  6. Work the replies from the unified inbox, and push the enriched records to your CRM.

No CSV leaves the building until you want it to.

Which way should you build a list?

There are four entry points, and the right one depends on what you already know:

You already know…Start with
The persona you sell toContact Search
The market segment or territoryCompany Search
A complex definition with exclusionsZenBee AI Chat
A customer who already convertedAI Lookalike

All four land in the same list object, so you can start from the account when you know the segment and from the contact when you know the persona, without maintaining two parallel workflows.

How does the data stay accurate?

Contact data is continuously re-verified, and the check runs at the moment you reveal a record rather than at database-build time. That distinction is the single largest driver of bounce rate: a record verified six months ago and stamped as “verified” is an old record with a timestamp on it.

B2B data decays at roughly 2% per month, with email addresses degrading fastest because they are tied directly to employment. We cover the mechanics in how sales intelligence data collection works, and the deliverability consequences in how to reduce email bounce rate.

Exports are filtered rather than flagged — unverified records do not reach your CSV or CRM, and skipped contacts are reported explicitly. Credits return on hard bounces.

Where does it fit in your existing stack?

  • CRM sync — push enriched records into the tools you already run, one click, no manual re-entry
  • Chrome extension — capture contacts and companies from any web page into a ZenBee list without breaking flow
  • Send from ZenBee or export — sequences with safe sending limits and a unified inbox, or a clean CSV for your own stack
  • Deliverability tooling — email verification built in rather than bolted on

If you run outbound at volume, pair this with the sender-side configuration in our guide to Gmail bulk sender requirements — good data will not rescue an unauthenticated domain.

What does ZenBee cost?

Pricing runs on a single token currency that powers every module and add-on, so you are not buying separate seats for data and outreach. Each tier bundles a monthly token allowance at a progressively lower per-token rate, tokens reset monthly, and overage is billed at your plan’s rate.

PlanMonthlyBilled yearlyTokens / month
Starter$99/mo$84/mo1,000
Growth$249/mo$212/mo3,000

Annual billing saves 15%. Sales and Recruitment are priced identically — you pick the product line, then the allowance — and Enterprise combines both on one login. Figures above were current at the time of writing; check plans and pricing for today’s numbers.

Who is it for, and who is it not for?

It fits three shapes of team well:

  • Sales teams building target account lists and running personalised sequences
  • Marketing teams building segmentable audiences and feeding lookalike lists into campaigns
  • Agencies and RevOps running prospecting across several clients or territories from one seat

It is a weaker fit if you need one-off enrichment of an existing list and nothing else — a consolidated workspace is overhead you would not use. And as with any provider, coverage varies by region and vertical. Sample your own segment before committing rather than trusting a headline database figure, including ours.

How should you evaluate it against another tool?

  1. Test on your ICP, not the vendor’s sample. Take 100 accounts you know well and measure match rate against reality.
  2. Ask when verification runs — at build time or at access time. This predicts your bounce rate more than any accuracy claim.
  3. Check coverage in your region and vertical. Strength in North American SaaS says nothing about European manufacturing.
  4. Test signal freshness against accounts you know are in market.
  5. Check integration depth, not just whether an integration exists.
  6. Confirm the compliance position your procurement team will ask about — GDPR and CCPA at minimum.
  7. Pilot narrow. One segment, one sequence, measured. Broad rollouts hide which part failed.

Frequently asked questions

How complex can an AI Chat query be?

It handles up to nine criteria in a single prompt, including either/or conditions and exclusions. Every extracted filter is shown and can be edited by hand afterwards.

Can I send from ZenBee, or only export?

Both. Run multi-step sequences from ZenBee with safe sending limits and manage replies in the unified inbox, or export the enriched list and send from your own stack.

Are the emails actually personalised, or is it a template?

Each draft is generated from that prospect’s own profile and company context rather than merged into a shared template.

How is usage measured?

A single token currency covers every module and add-on. Allowances reset monthly and overage bills at your plan’s per-token rate.

Is the data compliant?

ZenBee’s data practices are designed around major privacy regulations including GDPR and CCPA. Contact your ZenBee representative for full detail on compliance and data sourcing in your region.

How is the Sales Bundle different from Recruitment?

Same architecture, different record type — Sales works contacts and companies, Recruitment works candidates and companies. They are priced identically, and Enterprise combines both product lines on one login.
